• Events: Calendar events and related metadata from any calendars you connect
• Email Content: Metadata (such as sender, subject, and timestamp) and message body from Gmail messages (with user consent)

• Billing Information: Email address for subscription management; full payment information is handled by Stripe

3. How We Use Your Information

We use the information we collect to provide, operate, and improve the Simple Schedule service. This includes:

• Storing calendar events and metadata to support scheduling features such as reminders, availability checks, and calendar views.
• Analyzing Gmail messages using automated systems to extract scheduling-related information such as dates, times, and context.
• Storing sender metadata from emails to assist with identifying and grouping messages from trusted contacts.
• Improving the functionality, usability, and performance of our product.
• Communicating with users about updates, support issues, or account-related matters.
• Sending occasional product updates or marketing communications (you may opt out at any time).

3.a Beta Participation

If you choose to participate in our private beta, we may collect additional usage information to help us improve the service. This includes feedback, feature usage, and diagnostic data. This data is used solely for product development purposes and not shared with third parties outside our service providers.

3.b Payments and Billing Information

We use Stripe to process subscription payments. When you sign up for a paid plan, we collect your email address (provided via Sign in with Google) to:

• Identify your account for billing purposes
• Enable access to paid features
• Manage subscription status and free trial periods

We do not collect or store full payment information (e.g., credit card numbers). All payment processing is handled securely by Stripe in accordance with their privacy and security standards.

Free Trial: New users receive a 7-day free trial. After the trial period, your subscription will automatically renew unless you cancel. You may cancel at any time via the profile screen, and access to paid features ends at the conclusion of your billing cycle.

4. Sharing Your Information

We do not sell your personal information. We may share your information with trusted third-party service providers to operate and improve our service:

• Vercel Analytics - for product usage analysis
• Mailgun - for sending and receiving email
• Apple Weather API - for providing weather data based on location
• IPinfo.io - for resolving user location based on IP address
• OpenAI - for processing the content of emails to provide core scheduling functionality
• Google - for user authentication, calendar scheduling, and Gmail message analysis via API integrations
• Stripe - for processing subscription payments using only your email address

Important Note: Email content is only processed through OpenAI's API to generate scheduling suggestions or assist with time extraction. We do not use email data to train OpenAI's models or any third-party AI systems. Billing information shared with Stripe is strictly limited to your email address and subscription management. Google Calendar or Gmail data is never shared with Stripe or any other billing provider.

5. Cookies and Tracking Technologies

We use essential cookies and analytics tools to help understand usage and improve our service. These may collect data such as device type, browser, IP address, and user behavior.

You can control cookie settings through your browser preferences.

6. Data Retention

We retain personal information only as long as necessary to provide our services and fulfill the purposes described in this policy, unless a longer retention period is required by law.

Users can delete their account and all related data via the profile screen.

Billing Data: We retain email addresses and subscription status for the duration of your account to manage paid features, resolve disputes, and comply with legal obligations. Users may request deletion of billing data when deleting their account.

Google API Data: Any data obtained from Google APIs is handled in accordance with the Compliance with Google API Services User Data Policy section below.

7. Compliance with Google API Services User Data Policy

Affirmative Statement: Simple Schedule complies with the Google API Services User Data Policy, including the Limited Use requirements, in all use and transfer of information obtained through Google APIs.

We use Google APIs to authenticate users via Sign in with Google, integrate with Google Calendar, and extract scheduling-related information from Gmail messages. These capabilities support core functionality such as displaying events, detecting conflicts, showing the source messages of extracted events, and allowing users to manage their schedules directly within the Simple Schedule app.

AI/ML Use

• No data obtained from Google APIs is used to train any AI models, including third-party models.
• Gmail message data accessed via the Gmail API may be processed using OpenAI APIs to extract event-related information (such as dates, times, or intent). This processing supports event creation and displays the original message source alongside extracted details for user transparency.
• Sender metadata (such as email addresses) may be retained to support features like identifying known contacts, but this information is not used for profiling or external marketing purposes.
• Emails directly forwarded by users (not obtained via the Gmail API) may also be processed through OpenAI to assist with scheduling. This processing is strictly limited to core functionality and not used for training any models.

Data Retention

Simple Schedule retains only the minimum data necessary to provide core scheduling functionality. This includes:

• Google Calendar Data: Stored temporarily to display events and manage scheduling. This data is deleted when a user disconnects their Google account or deletes their Simple Schedule account.
• Gmail Message Content: Full Gmail messages accessed via the Gmail API are not stored on Simple Schedule servers. They are accessed only in-memory for the purpose of extracting event details or displaying the original message as a reference source within the app. Gmail data is only accessible while the user maintains active authorization for Gmail API access.
• Sender Metadata: May be retained to support features such as contact recognition. Users may remove this data by deleting their account or choosing to delete all data from the profile screen.
• Extracted Events from Gmail: Events extracted from Gmail messages are stored in Simple Schedule to power scheduling functionality, such as conflict detection and event tracking. These events are deleted when a user deletes their account or chooses to delete all data from the profile screen.

All user data — including extracted events and associated metadata — is permanently deleted upon account deletion or when a user explicitly requests data removal via the profile screen.

Revoking Access: You may revoke Simple Schedule's access to your Google account at any time by visiting your Google Account permissions page. Deleting your account from within Simple Schedule (found in the profile screen) will also permanently remove all data associated with your account, including Google Calendar and Gmail connections.

Stripe Billing: Stripe does not access Gmail or Calendar data, ensuring all Limited Use requirements remain satisfied.

8. Your Rights

If you are a resident of California, you have the right to:

• Know what personal data we collect
• Request deletion of your data
• Opt out of data sharing (we do not sell data)

9. Security

We take reasonable measures to protect your personal information, but no method of transmission over the Internet or method of storage is 100% secure.

We use industry-standard technologies like HTTPS and encrypted databases to protect user data in transit and at rest.

10. Children's Privacy

Our services are not directed to individuals under 13, and we do not knowingly collect personal data from children.

While the app allows parents to enter information about their children, this data is collected from the parent for the purpose of family scheduling.

If we become aware that we have collected personal data from a child under 13, we will take steps to delete such information.
